If you have ever tried to scale an automation on Zapier and got sticker shock on your bill at the end of the month, just know you are not alone.

The cost difference between n8n and Zapier can reach up to 90%, and that number alone should be enough for any manager or developer to stop and pay attention.

But the story goes way beyond price.

In 2026, these two platforms represent completely different philosophies about what workflow automation should be, who it exists for, and how far it can go.

On one side, Zapier remains the established giant, with over 7,000 native integrations and a user base of millions who have never needed to write a single line of code in their lives.

On the other, n8n arrived with full force, raising $180 million in a Series C round in October 2025, reaching a $2.5 billion valuation, and putting the enterprise market on notice that the open-source model is a real and mature alternative.

The question that remains is: which one makes more sense for your situation?

The answer depends on your technical skill level, the complexity of your workflows, and how much you are willing to spend every month.

What each platform stands for, in practice

Zapier was born in 2011, founded by Wade Foster, Bryan Helmig, and Mike Knoop, with a clear mission: to make automation accessible to anyone, regardless of technical knowledge. The idea was always to create an environment where connecting two apps was as simple as dragging and dropping blocks, without needing to understand anything about APIs, webhooks, or programming logic. That worked incredibly well for years and still works today for a massive number of users. The platform has virtually no learning curve, a clean interface, and an integration ecosystem that rivals any other player on the market. For small businesses, freelancers, and marketing teams that need simple day-to-day automations, Zapier delivers exactly what it promises, no complications.

n8n, whose name is pronounced like nodemation, was founded in 2019 by Jan Oberhauser and emerged as a direct response to the limitations imposed by traditional SaaS models. The platform is open-source, operating under a fair-code license model, which means anyone can download the code, run it on their own servers, and have full control over the data and workflows flowing through it. This characteristic is not just a technical differentiator — it represents a paradigm shift about who actually owns a company’s automation infrastructure. The n8n visual editor uses a node-based canvas where you connect triggers, actions, and logic nodes to build automations of any complexity. With the billion-dollar-level funding received in 2025, n8n went from being just an alternative for curious developers to being seriously considered by mid-size and large companies looking to scale their operations without an explosion of costs.

The philosophical difference between the two is quite clear. Zapier optimizes for breadth and simplicity — it wants every business user automating within minutes. n8n optimizes for depth and control — it wants developers building production-grade automation pipelines with full visibility into every data transformation. When you place both platforms side by side, it becomes obvious that they are not fighting for exactly the same audience, but there is a huge zone of overlap, especially among technical teams at startups and growing companies that are still deciding which path to take. It is in that zone where comparing cost, flexibility, and depth of integrations really makes a difference in the decision-making process.

Worth noting that the global workflow automation market reached roughly $13.6 billion by the end of 2025, driven precisely by integration with artificial intelligence and the digital transformation of businesses. Both platforms compete today not just against each other, but also against competitors like Make, Power Automate, and a new generation of AI-native automation tools.

Integrations: quantity vs. depth

Zapier leads by a wide margin when the subject is sheer volume of integrations. Over 7,000 connectable apps is a number that is hard to ignore, and the majority of those connections work natively, without any additional configuration. You go into the dashboard, pick the apps you want to connect, define the trigger and the action, and within minutes your workflow is running. That convenience has real value, especially when the team does not have a developer available or when speed of implementation is critical. Popular apps like Gmail, Slack, HubSpot, Salesforce, Notion, Google Sheets, Shopify, Stripe, and hundreds of others are available with ready-made, well-documented connectors.

n8n takes a different approach. The platform offers over 400 native integration nodes, a much smaller number on paper, but one that in practice covers the vast majority of tools used by technology companies. This includes major platforms like Slack, GitHub, Google Sheets, PostgreSQL, MySQL, MongoDB, Redis, AWS services, Telegram, and Discord, plus a powerful HTTP request node. The differentiator lies in the depth: where Zapier often limits what you can do within an integration, n8n allows full access to the connected service’s API, enabling custom calls, real-time data manipulation, and much more sophisticated conditional logic. Combined with the code node, n8n can effectively integrate with any existing REST or GraphQL API.

On top of that, because it is open-source, any developer can create and publish new integration nodes for the community. Since 2024, the n8n community has already published over 500 custom nodes, covering niche integrations that the platform does not deliver natively. This makes the ecosystem grow organically and continuously, giving developer teams a virtually unlimited number of possible integrations.

For simple, linear automations, Zapier clearly wins on ease of use. Sending form responses straight to a spreadsheet, for example, takes less than a minute on Zapier, while on n8n the initial setup requires a few extra minutes and an understanding of the node-based interface. But as workflows get more complex, with branching, loops, data transformations, and calls to proprietary APIs, n8n starts to really flex its muscles. Teams working with artificial intelligence, batch data processing, or orchestration of multiple systems tend to find in n8n the flexibility they need without having to resort to workarounds or purchase expensive enterprise plans just to unlock basic functionality.

Cost: where the difference really shows up

This is the point that sparks the most discussion, and for good reason. Zapier’s pricing model is based on tasks, meaning every step executed within a workflow counts as a billed task. This means that a five-step workflow running a thousand times consumes five thousand tasks. On the free plan, the limit is 100 tasks per month, which is enough for testing but impractical for real use. The Starter plan costs around $19.99 per month for 750 tasks, the Professional plan runs around $49 per month for 2,000 tasks, and the Team and Enterprise plans go up considerably as task volume grows. For companies processing tens of thousands of tasks per month, the bill can easily surpass hundreds or even thousands of dollars monthly, which explains the invoice shock so many people have already experienced.

n8n works in a completely different way in this regard, charging per workflow execution rather than per individual step. In the self-hosted option, which is free and open-source, the only cost involved is the infrastructure where you spin up the server, usually a cloud instance like AWS, Google Cloud, or even a simple VPS running $10 to $15 per month. For many companies, this represents massive savings compared to what they would pay on Zapier for the same volume of executions. In the cloud option managed by n8n itself, plans start at around $20 per month for 2,500 executions, and the Pro plan costs about $50 per month for 10,000 executions.

To put it into perspective, imagine a mid-size e-commerce company running order processing workflows with eight steps, 10,000 times per month. On Zapier, that consumes 80,000 tasks, requiring an enterprise-level plan that costs over $400 per month. On n8n cloud, that same workload costs $50 per month on the Pro plan. On the self-hosted version, the cost drops to roughly $10 to $15 per month just for the server. This is where the up to 90% cost difference starts to make real sense.

It is also worth noting that Zapier introduced bundled pricing in late 2025 to address complaints about task counting, allowing users to purchase additional task packs. Even so, the fundamental per-task billing model remains. On the other hand, Zapier’s free plan with 100 tasks is genuinely useful for personal automations and requires zero technical knowledge, while n8n’s free self-hosted plan requires you to know how to spin up a Docker container. That calculation changes quite a bit when you are talking about operations running thousands of automations per day. 💡

Artificial intelligence and advanced features

Artificial intelligence capabilities have become the main battleground between automation platforms in 2026. Both offer AI features, but at very different depths. n8n treats AI nodes as first-class components within the workflow, while Zapier packages AI as a premium add-on feature.

n8n’s AI integration is developer-grade. The platform supports direct connections to OpenAI, Anthropic Claude, Google Gemini, Hugging Face models, and even local language models running via Ollama. It also integrates with LangChain, enabling flows with AI agents that have memory, tool usage, and retrieval-augmented generation, commonly known as RAG. This means you can build a workflow that receives a support email, classifies it with a local model, searches for relevant documentation in a vector database, generates a response with Claude, and sends everything through Gmail — all within a single workflow with full error handling.

Zapier centralizes its AI features in AI by Zapier actions and integrations with major model providers. The platform also offers Zapier Agents, a newer feature that enables conversational chatbots connected to the Zap ecosystem. Zapier’s AI capabilities are easier to set up for non-technical users, with ready-made templates for common tasks like email summarization and content generation. The big difference is control: n8n gives access to raw API parameters like temperature, max tokens, and system prompts, while Zapier abstracts all of that away in the name of simplicity. For organizations in regulated industries like finance and healthcare, the ability to run n8n self-hosted with a local model while keeping all data in-house is a huge differentiator — something that Zapier, being cloud-only, simply cannot offer.

Tools we use daily

Who should use each one

Zapier is still the best choice for profiles that prioritize simplicity above everything else. Small businesses without a technical team, solo entrepreneurs, marketing and sales teams that need to connect tools quickly, and professionals who do not have the time or interest in learning anything technical will feel much more comfortable in Zapier’s environment. The platform delivers fast results, has robust support, excellent documentation, and a massive community of users who share ready-made templates for virtually every use case imaginable. If cost is not a central concern and speed of implementation is what matters most, Zapier fills the role beautifully, especially for teams running fewer than 2,000 tasks per month.

n8n shines for developers, engineering teams, tech companies, and any organization that needs real control over its automation workflows. If your operation involves sensitive data that cannot travel through third-party servers, n8n’s self-hosting solves that issue definitively, meeting compliance frameworks like GDPR, HIPAA, and data residency requirements that cloud tools simply cannot satisfy. If you need to create automations with complex logic, integrate internal systems that do not have ready-made connectors anywhere, or simply want to scale without your cost growing at the same rate as your workload, n8n is a choice that makes a lot of sense. The $180 million funding round also signals that the platform is investing heavily in evolving its product, especially in the world of artificial intelligence agents and complex automations.

There is also a third profile that increasingly shows up in discussions about these tools: companies that started on Zapier, grew, and are now considering migrating to n8n because of the high cost. For this group, the transition requires an initial time investment to recreate existing workflows, since there is no automatic migration path between the two platforms. The ideal approach is to start with the simplest, highest-volume Zaps, carefully test each recreated workflow, and run both platforms in parallel for a week or two before fully shutting off the old Zaps. The savings generated over the following months usually more than make up for that initial effort.

What to expect going forward

The automation market is undergoing rapid transformation in 2026, and both platforms are responding to it in distinct ways. Zapier has been investing in generative artificial intelligence features within the platform, allowing users to create automations by describing in natural language what they want to do, without even needing to manually configure the steps. This further democratizes access for non-technical users and reinforces the company’s positioning as the most user-friendly automation platform on the market.

n8n, on the other hand, is betting heavily on the creation of autonomous AI agents that can make decisions within automation workflows without human intervention. With the Series C capital in hand, the company has accelerated the development of features aimed at enterprises that want to use artificial intelligence in a way that is tightly integrated with their operations, with full control over data and without relying on external APIs that charge per token or per call. This puts n8n in a very interesting position for the coming years, especially as enterprise AI use cases become more sophisticated and demanding.

What is clear is that neither of these platforms is going away anytime soon, and the competition between them only stands to benefit the people using them. More features, more competitive pricing, and ever-larger integration ecosystems are natural consequences of this dynamic. The best strategy is to get to know what each one offers today, map out the real needs of your business, and make a decision based on concrete data — not hype or whichever platform happens to be more popular at the moment. 😉

The difference between n8n and Zapier is not just technical. It is a choice about control, scale, and how much you are willing to pay to automate your business over the long run.
