Cetec ERP just announced a robust package of updates that promises to change the daily routine for small and midsize manufacturers.

If you work in a factory or industrial setting and still spend hours every day manually entering data, organizing documents by hand, or trying to pull useful information out of your management system, this news is pretty relevant to you. 👀

The company brought new features ranging from Artificial Intelligence support via the Model Context Protocol to business process automation tools covering everything from production orders to supplier invoice processing.

And the most interesting part here is not just the number of new features, but the thinking behind them. Instead of packing in technology for the sake of technology, Cetec ERP kept it pretty straightforward: reduce repetitive work, connect data to the production flow, and make the system more useful for the people already using it every day. In the next sections, we will break down each of these updates and explain, in practical terms, what they mean for those working on the shop floor. 🏭

As Taylor Wagen, COO of Cetec ERP, put it, manufacturers need practical tools that save time, cut down on manual typing, and make business data easier to work with. According to him, these updates give teams more ways to automate recurring tasks within the same ERP they already use to manage quotes, inventory, purchasing, production, quality, shipping, accounting, and reporting. It is a vision well aligned with the reality of those who need to do more with less.

Artificial Intelligence Inside the ERP: What Actually Changed

The big news on the Artificial Intelligence front is the adoption of the Model Context Protocol, better known as MCP. This protocol allows compatible AI tools like ChatGPT, Claude, Gemini, Cursor, and others to connect directly to Cetec ERP through its API and interact with actual company data in real time. In practice, this means a technical user can set up that bridge and, from there, ask natural language questions about inventory, production orders, or supplier history, with the system responding based on the information already inside it, without needing to export a single spreadsheet.

The types of questions you can ask are pretty varied and cover a good chunk of everyday inquiries. You can, for example, look up open sales orders, check available stock for a specific part, review pending purchase orders, verify accounts receivable balances for customers, access nonconformance records, or even estimate production capacity for the following week. All of this using natural language, as if you were chatting with a colleague who has full access to the system. 🤖

It is worth highlighting an important point about security and control: most MCP tools currently work in read-only mode. That means they query and display data but do not change anything. There is a limited set of write functions available, designed for creating quotes, creating bills of materials (BOMs), and updating those lists. These write capabilities, however, should only be used by someone who thoroughly understands the API and the related business processes, precisely to avoid unintended changes to the data. That caution shows a healthy concern for data integrity.

This MCP integration is a significant step forward because it removes the technical barrier that typically separates everyday users from the more advanced capabilities of Artificial Intelligence. When new technology fits into the workflow the team already knows, the learning curve drops significantly and adoption happens much more naturally, without the typical resistance from people who would otherwise have to learn a tool from scratch.

Custom Automation Services: Spreadsheets and Documents on Autopilot

Another really interesting area in these updates is the expansion of custom automation services, aimed especially at manufacturers that frequently process spreadsheets, documents, and other recurring files. Cetec ERP can now ingest that data and trigger actions inside the system automatically, covering use cases like customer purchase order spreadsheets, custom BOM reports, supplier forecasts, and weekly production reports.

In practice, this means less time spent copying and pasting information from one place to another and fewer chances for human error in the process. Imagine receiving a forecast spreadsheet from a supplier every week and having to enter all of that manually into the system. With automation, that workflow runs on its own, freeing the team for tasks that actually require attention and judgment. ⚙️

Notifiers, Tasks, and Reminders

The system also gained object notifiers, generic tasks, and reminders. With these tools, users can create custom email alerts based on selected business objects, specific conditions, and defined triggers. You can assign work to team members, set due dates, link tasks to business records, attach documents, and automatically fire off reminder emails. It is an organizational layer that goes a long way in keeping the team aligned and making sure nothing falls through the cracks.

Financial Automation: From Receiving to Invoice Processing

The updates also hit the financial and goods receiving areas pretty hard. One of the new features is automatic receiving cost adjustment, which helps record corrected values for inventory, accrued purchases, and cost of goods sold when cost or quantity data for a receipt changes after the transaction has already gone through the system. This solves a classic reconciliation problem that usually causes major headaches during month-end close.

Cetec ERP also added support for supplier invoices that arrive before the goods do. In those cases, teams can process invoices using a two-way match between purchase order lines and invoice amounts, when appropriate, while maintaining visibility into related reconciliation needs. It is the kind of detail that makes a real difference in the daily life of anyone managing accounts payable.

AP Automation and Document Scan & Attach with OCR

Two of the most talked-about features are AP Automation and Document Scan & Attach powered by OCR. The automation in supplier invoice processing allows invoices to be sent to a company accounts payable email address or scanned through a scanner with OCR capability. The system can then automatically create accounts payable vouchers, link purchase order line item receipts to the supplier invoice remittance, and attach the invoice PDF to the voucher record. All of this drastically reduces the time spent on this task and, most importantly, the risk of data entry errors that can cause tax and accounting problems down the road.

The Document Scan & Attach feature allows paper or PDF documents to be scanned, read by OCR, matched with the appropriate transaction record, and attached to the corresponding business object inside Cetec ERP. The most common use cases include attaching supplier packing slips to purchase order receiving records or attaching scanned production order router packets to the correct work order. Say goodbye to stacks of paper lost in drawers! 📄

More Agility for Production Teams

For those working directly in production, Cetec ERP added batch rescheduling. Users can now select multiple work orders and reschedule them all at once, instead of doing it one by one. This function was even expanded to support finite scheduling mode, which helps a lot with more realistic factory capacity planning.

Tools we use daily

Among other automation-related updates, improvements worth mentioning include faster swapping of substitute part materials, enhancements to automatic put away, and broader pass-through traceability for bonus column data in linked sales and purchase records. These are improvements that, taken together, make the flow of information much smoother between different modules of the system.

What These Updates Mean for Small and Midsize Manufacturers

One thing that stands out about the Cetec ERP update package is that it was clearly designed with the reality of resource-constrained companies in mind, both in terms of budget and headcount. Small and midsize manufacturers rarely have dedicated technology teams, data analysts, or Artificial Intelligence specialists. So when a management system starts incorporating these capabilities natively, without requiring outside consultants or complex standalone implementations, the benefit becomes much more accessible and much more immediate.

From a competitiveness standpoint, this also carries considerable weight. The industrial market is under increasing pressure from shorter lead times, tighter margins, and more demanding customers. Companies still running entirely manual processes find it harder and harder to keep up with that pace. Business process automation is no longer a luxury reserved for large corporations with million-dollar budgets. It is becoming a basic operational necessity, and tools like the ones Cetec ERP is rolling out help democratize that access. This levels the playing field a bit and gives smaller companies a real shot at operating more efficiently.

At the end of the day, this collection of updates reflects a very practical approach from Cetec ERP toward AI and automation: using artificial intelligence, OCR, rules, scripts, and the system’s own logic exactly where they reduce repetitive work and keep data connected to the manufacturing process. The company has been working consistently to simplify operations and processes for manufacturers, and this feature package is clear proof of that direction.

Finally, it is worth noting that this move also reflects a broader trend in the management software market: Artificial Intelligence and automation have stopped being optional layers and have become a core part of the product. Systems that do not evolve in this direction tend to lose relevance quickly, because users are already accustomed to the convenience these technologies offer in other areas of their lives. By delivering these capabilities in an integrated and accessible way, Cetec ERP positions itself as a pretty competitive option for manufacturers looking to grow without necessarily expanding the team or adding operational complexity. 💡
